Flex Entry

Summary

Means by which institutions can report and be funded for semester credit hours (SCH) in classes that were not organized by the census date (universities). Students enrolled and classes organized after the official reporting date are reported to the Texas Higher Education Coordinating Board (THECB) for certification in the data submitted in the following semester. 

Detailed Description

Student Flex Entry

Students enrolled in classes organized after the official reporting date should be included in the data submitted in the semester following; i.e., (1) students enrolled in the classes organized after the 12th class day of the fall semester will be reported in the following spring semester 12th class day report; (2) students enrolled in classes organized after the 12th class day of the spring semester will be reported in the summer semester following.

Flexible Entry Record (Student): When a student is enrolled in a flexible entry (FE) class, the student will have an FE record submitted in the following semester. It contains credit or contact hour data pertaining to that class. It is separate from and independent of any record generated by the student’s enrollment in the current reporting period.

 

Class Flex Entry

A class is “organized” when students have registered AND paid fees or established an accounts receivable. A class organized after the official reporting date is a flexible entry class and will be included in the data submitted in the semester following; i.e., (a) report classes organized after the 12th class day of the fall semester in the following spring semester 12th class day report; (b) report classes organized after the 12th class day of the spring semester in the summer session following.

Flexible Entry Record (Class): For universities, classes that are organized after the official census date. A class is organized when students have registered and paid fees.
